How to use this without fooling yourself

A calculator will return a confident-looking number for any inputs you give it, including wrong ones. Five places people tend to be optimistic:

• Your own labor. The most common and most expensive omission. If you work in the trailer and do not pay yourself in the labor section, the profit figure is your wages and the business's profit added together, and it will look far better than it is.
• Transactions per day. The easiest field to inflate and the one that moves the answer most. Model the day you will actually have in month two, not the best Saturday you can imagine.
• Paid hours. Staff are paid to prep, restock, clean and drive, not only to serve. Counting service hours alone understates labor badly.
• Operating days. Weather, illness, maintenance and slow seasons all remove days. Twenty-two is a full month with nothing going wrong.
• Cost of goods. It is not just coffee. Milk, cups, lids, sleeves, syrups and waste all sit inside that percentage.

Run it once optimistically and once pessimistically. The distance between the two answers is the honest picture, and it is worth more than either number on its own.

What this calculator does not include

Taxes, loan interest as distinct from the payment, depreciation, owner draw and your own time are not in it. Operating profit is what the business produced before those. It is the right number for comparing operating models, and the wrong number for deciding what you will personally take home.
