Model a season, not a Saturday
The fixed expenses at the bottom of this calculator are charged every month whether you work four events or none. That is the whole reason event businesses feel volatile: revenue is seasonal and overhead is not. Run the calculator twice, once at your peak-season volume and once at your quietest month, and look at the second answer carefully. That is the month that decides whether the business survives its first year.
Why per-event costs matter more than they look
Mixers, ice, cups, travel and the labor to set up and break down are charged against every single booking. At six events a month they are a manageable line. At twelve they have doubled, while your fixed costs have not moved. That is the useful thing this calculator shows: which of your costs scale with volume and which do not, and therefore what an extra event is actually worth to you.
That figure has a name, contribution per event, and it is the number behind the payback calculator.
What this calculator does not include
Taxes, loan interest as distinct from the payment, depreciation, owner draw and the value of your own weekends are not in it. Operating profit is what the business produced before those.
